If you are wishing to film on campus, the University needs to be aware to ensure the efficient use of all facilities, plus the safety of all attendees and other affected parties. The following principles are taken from the University’s Event Management Policy:
 
  • Only appropriate and compliant events may be held at University premises.
  • Teaching will always have priority over other activities.
  • University spaces are reserved for University-related activities and are not generally available to third parties for events unless such events have been determined as appropriate to be held at the University.

From the Event Management Policy, where the Event Owner is external to the University (i.e. not a current student or staff member) the event must have an External Event Sponsor. The External Event Sponsor must be a manager at Level 3 (or higher) of the University’s Organizational Structure (UOS) or member of the Auckland UniServices Ltd executive team. The External Event Sponsor is responsible to determine and approve the appropriateness of an event where the Event Owner is external to the University.

Please also note that filming on campus will not be permitted at any time if it might impact classes, examinations or pre-booked University activities.

If filming is approved, fees may apply for any damage to the University facilities or support/attendance by University staff. The organization undertaking the filming will be required to complete and sign a Use of Facilities agreement, to document applicable fees and confirm extent of respective liabilities.

Crew Details
Are any of the actors/crew under the age of 18?

If yes, please be aware that specific guidelines will apply for the supervision of under 18's whilst on campus.

Will the proposed filming involve pyrotechnics or anything else that may generate noise/disturbance? (e.g. loud music)
Will the proposed filming involve catering for actors/crew?

Please be aware that catering on-campus may only be provided via one of the the University's appointed panel caterers.

Is the proposed filming likely to interfere with teaching activities or the normal movement of students and staff on campus?
Will the proposed filming involve students or staff as part of the cast?

Please be aware that consent forms will be required.

Could the proposed filming involve filming of students or staff passing by?
Will the proposed filming require space on campus for set up/storage/crew access?
Will the proposed filming require access into University buildings?
Will the proposed filming require access to University facilities? (e.g. power, water, bathrooms)
I confirm I have read and completed the UoA Location Agreement for filming.
Requests for special assistance
Do you think your event may require special assistance in the form of: security presence, additional cleaning, deliveries, special car parking, connectivity to water mains? Or will you be bringing in: portable or gas-powered equipment, or any specialty electrical equipment?
